About the Role
About the Role

In this varied and interesting role you will be responsible for general reception duties including operating the switchboard, responding to internal building queries, general administration duties as well as following security procedures such as fire evacuation and monitoring security access.

Key Responsibilities

Reception and Switchboard
  • Greet visitors and staff in a professional manner
  • Manage access requirements (visitors, staff, etc.)
  • Answer switchboard calls within the pre-defined service level and transfer calls to the relevant person/department
  • Log and respond to calls and emails, ensuring they are dealt with quickly and forwarded to the appropriate person
Administration
  • Administration of Facilities Services contractor's activities
  • Maintenance of Health and Safety and other related records e.g. waste management, licences, public liability insurance, risk assessments, RAMS etc.
  • Car park management
  • Invoice management
Security
  • Monitor access control daily and upload forgotten passes onto the system
  • Complete fire evacuation training every three months
  • Monitor leavers & starters and prepare for new passes for colleagues
Skills and Experience
About You

Essential Skills and Experience
  • Excellent customer service and communication skills.
  • Good administrator with experience using various software packages.
  • High level of computer literacy – proficient in Word and Excel.
  • Previous reception and switchboard experience.
  • Punctual and flexible – may need to change shift patterns to ensure continuity of service.
  • Good attention to detail in all areas of role.
Desirable
  • Experienced in CODA/Prop Man
  • High standard of mathematical ability
  • Experienced typist
  • Proficient in PowerPoint
Qualifications

Essential
  • Excel, Word and Outlook
  • English and Maths to GCSE level or equivalent.
Desirable
  • Customer service NVQ
